Manage your files
Your content library holds every file you have uploaded or linked. From it you can see which products a file is attached to, which orders recently received it, and change or remove it. This guide covers finding and maintaining files; uploading them is covered in Upload files.
Before you begin
- Changes to a file apply to orders already placed, not just future ones. Editing a name or a link updates what past customers see.
- Deleting is permanent and cannot be undone.
Find a file
- Click Filemonk in the left menu of your Shopify admin.
- Click Content library in the app's menu, on the Files uploaded tab.
- Search by File name, or scan the list.
The list shows each file's Type, Size, and Uploaded At. Files added by link are marked External. To take the list elsewhere, use More then Export CSV, which is emailed to you.
What you can do with a file
Open a file to reach its actions:
| Action | What it does |
|---|---|
| Link file to products | Attaches the file to a product or a specific variant, so buyers receive it |
| Open file | Opens the file itself, so you can check you have the right one |
| Copy link | Copies the file's direct link. See Get a downloadable link for a file |
| Replace file | Swaps the file's contents, keeping every existing link working. See Replace a file |
| Edit file | Changes the name, or the URL for an external file |
| Delete file | Removes it permanently |
Read a file's page
Products linked shows every product that delivers this file. Each entry says whether it is Linked to all variants or Linked to a specific variant, which matters when only some variants should include it.
Recent orders shows orders that recently received the file. It is the fastest way to answer "did this customer actually get it?" without going order by order.
Check your setup
Open a file you expect to be selling and look at Products linked. If it says no products, no customer is receiving that file, however correct the file itself looks.
Troubleshooting
A file shows no products linked
It was uploaded but never attached to anything. Use Link file to products. Uploading alone never puts a file on sale. See Create a digital product.
Only some customers get the file
It is linked to one specific variant rather than all of them. Check the label under Products linked and re-link to all variants if every buyer should get it.
A linked product shows as unavailable
The Shopify product or variant was deleted while the file was still attached. Link the file to the current product, and remove the stale entry.
I need to delete a file that customers already bought
Deleting removes it from those orders too, so buyers lose access to it. If you are replacing it with a newer version, use Replace file instead, which keeps their links working. See Replace a file.
I can't tell which of two similar files is in use
Open each and compare Products linked and Recent orders. The one with recent orders is the one customers are getting.
FAQ
Does deleting a file free up storage?
Yes. Your storage is the combined size of the files in your library, so deleting reduces it. See Upload files.
Does renaming a file change what customers see?
Yes. The name is what appears on the download page, including for orders already placed. Rename with that in mind.
Can one file be sold on several products?
Yes. Link it to as many products or variants as you like. There is one copy of the file and one set of edits.
How do I group files so they're easier to work with?
Inside a digital product you can put its files into folders, which also groups them for customers on the download page. See Organize files with folders.
Can I get a list of all my files?
Yes. Use More then Export CSV in the content library. Filemonk emails the file to your store's email address.
