Send download links automatically
Automatic sending is how most stores deliver: the customer checks out, Filemonk emails them a download link, and you are not involved. Two switches control it, and both have to be on.
Set it up
- Click Filemonk in the left menu of your Shopify admin.
- Click Settings in the app's menu, then open the Email tab.
- Turn on Process digital orders, which lets Filemonk act on orders at all.
- Turn on Send email.
That is it for the default behaviour. The Status section on the same tab shows which address emails are sent from.
What customers will see
Shortly after checkout, an email in your template with a button to their download page. They also see the Thank you page button if you have set one up, so most customers never wait for the email at all.
When it will not send
Filemonk holds delivery back in these cases, all deliberate:
| Reason | Where it comes from |
|---|---|
| Order processing is off | The switch above. See Turn on order processing |
| An order status rule is not met | Send email and show the button based on order status |
| The order is not fully paid, if you require that | Send downloads only if the order is fully paid |
| The order predates your cutoff | Ignore orders before a date or order number |
| The order has no email address | Send download links for orders without an email |
| Your email template is under review | Contact support, see below |
Check your setup
Place a test order and confirm the email arrives, ideally at an address outside your own domain so you see it as a customer would. See Create a test order.
Troubleshooting
No emails are going out at all
Open a recent order. Filemonk names the reason: app not enabled, email disabled, or a status that did not match. That is faster than checking settings one by one. See Troubleshoot a single order.
Email verification in progress
Content in your email template was flagged for review by Filemonk's support team, and nothing sends until that review is done. Contact support to move it along.
Emails land in spam
Usually the sender address. Sending from your own domain with DKIM authentication is the single biggest improvement. See Change the From address.
Some customers get emails and others don't
Look for what those orders have in common: no email address, an unmet status rule, or a product with no files linked. The order page names the reason in each case.
You were alerted instead of the customer
Some email domains reject every message sent to them. Rather than sending into a black hole, Filemonk skips the customer and emails you instead, so you know to reach them another way. Treat it like an order with no usable address: send them their download link yourself. See Send download links for orders without an email.
The customer got the email but the link doesn't work
That is an access problem rather than a sending one: limits used up, access disabled, or unmet EU consent. See How Filemonk protects your files.
FAQ
Can I process orders but not email?
Yes, and it is a valid setup. Leave Send email off and customers reach their files through the Thank you page, their account page, or an email you send by hand.
How soon does it arrive?
Within moments of the order, unless a status rule is holding it back.
Can I re-send to one customer?
Yes, from the order. See Send emails with links for orders.
Can I change what the email says?
Yes, in the email editor: subject, body, colors, logo, footer. See Customize the email template.
